Privacy statement – WCEF+Climate
This privacy statement covers your registration to the WCEF+Climate, the submission of a commitment in the WCEF+Climate Action Statement, the use of our ‘contact’ forms, and/or your use of the WCEF+Climate Virtual Conference Platform.
The Netherlands Ministry of Infrastructure and Water Management (hereafter referred to as the Ministry) is responsible for the management and processing of the personal data of registrations of the WCEF+Climate Event, the WCEF+Climate Action Statement Commitments, the personal data collected through the contact form, and any other personal data shared through the WCEF+Climate Virtual Conference Platform.
What information will be processed by the Ministry of Infrastructure and Water Management?
The Ministry will process your personal data because you decided to register for the WCEF+Climate Conference and/or you submitted a Commitment to be included in the WCEF+Climate Action Statement to be distributed following the conclusion of the meeting on 15-16 April 2021.
In accordance with this, you shared the following personal data through either our registration or commitment forms:
- First and last name
- Age range
- Country of residence
- Employer / organisation you represent
- Other personal information that you provide in documents you may attach to your commitment and anything you include in your profile to make use of the Conference Platform.
Upon registering and/or submitting a commitment to potentially be included in the WCEF+Climate Action Statement, you will receive an automated reply regarding your registration and participation in the event and/or the submission of your commitment. In the run-up to and following the conference, we reserve the right to send you automated messages concerning your registration, your commitment and further participation in this event.
Should you wish to participate in the conference, submit a commitment, and gain access to the WCEF+Climate conference platform, it is necessary that you provide us with this information. Should you wish to view the conference online without sharing personal data, parts of the conference will be livestreamed on YouTube, Twitter, Instagram and Facebook. Recordings of all sessions will be made available following the conclusion of the conference on the aforementioned social media platforms and at www.wcefplusclimate.com.
In addition, please note that you can decide whether or not you would like to be contacted concerning WCEF-affiliated events. This includes information on the WCEF+Climate in the run-up to and following the conference, as well as further WCEF-affiliated events. Should you decide to receive this information, please note that you will be able to unsubscribe at any time.
What is the reason and legal basis for processing personal data?
The Ministry processes your personal data because you are registering to participate in the WCEF+Climate virtual conference on 15-16 April 2021 and will be making use of the Virtual Conference Platform and/or because you have submitted a commitment on behalf of your organisation to potentially be included in the WCEF+Climate Action Statement. As such, you give us permission to make use of your personal data because you are making use of our service(s).
How long do we keep your personal data?
The Ministry keeps data for no longer than is necessary, in this case until December 31, 2021. Nevertheless, the Ministry reserves the right to keep and use data longer if it is needed for investigative purposes, for example if someone has committed a criminal offence.
Sharing data with third parties
The Ministry does not sell your data to third parties. In the case of the WCEF+Climate, all personal data will be shared with The Finnish Innovation Fund Sitra, the co-host of the conference, and the owner of the WCEF brand. In line with this, the Ministry has entered into an agreement with Sitra in which the Ministry will ensure the safe transfer of all personal data to the Finnish Innovation Fund Sitra to be used for purposes related to the World Circular Economy Forum brand. Sitra will not sell or share your personal information with third parties. In addition, all personal data processed by the Ministry will also be shared with the Kingdom of the Netherlands’ Ministry of Foreign Affairs, that is responsible for developing, processing and managing the WCEF+Climate’s online conference platform. This information will be available to them until 31 August 2021. Thereafter, based on an agreement between the Ministry and the Kingdom of the Netherlands’ Ministry of Foreign Affairs, this information will be expunged.
How do we protect personal data?
The Ministry takes data protection seriously, and takes suitable measures to combat abuse, loss, and unauthorised accessing, unwanted publication, and/or unauthorised amendment of data.
Accessing, rectifying, and erasing data
You have the right to access, rectify or erase your personal data. You also have the right to withdraw permission to process your data, and to object to the processing of your data by the Ministry. You also have the right to request that your personal data not be shared with the Finnish Innovation Fund Sitra. Finally, you have the right to ‘data portability’. This means you can ask us to send the personal data in our possession to you or another organisation of your choice.
